Terms and Conditions


Art.1 The Competition
The ”Notes&Ties” Cultural Association and The “Gheorghe Dima” Music Academy are holding an international competition from July 7th to July 14th 2019 for Flute and Clarinet called CLUJ INTERNATIONAL MUSIC COMPETITION.

Art.2 Registration
The competition is open to flute and clarinet players of all nationalities born no earlier than July 7th, 1984.

Submitted applications must include the following documents:

  • application form – download
  • a recent photo (portrait, min. 300 dpi)
  • a short biography (max. one page, in English)
  • a copy of the candidate’s ID or passport
  • a copy of the confirmation of payment (application fee) according to Art.3
  • a recent and non-edited audio recording* of the preliminary audition repertoire (1st Round)

*Technical requirements of the recording:

  • good quality computer files (WAV or MP3) containing the required repertoire for the preliminary audition (1st Round), with each movement in a separate file
  • the names of the candidate, of the composer, of the piece and of the movement (if applicable) must be featured in each file’s name, in this particular order
  • public records are not accepted
  • the audio file must be sent electronically at cluj.imc@gmail.com via a transfer service (e.g. wetransfer.com)

Art.3 Application Fee

EARLY BIRDUntil December 31st 2018, candidates will pay an application fee of EUR 150 (net of bank commissions)

REGULAR FEEStarting January 1st 2019, until the registration deadline, candidates will pay an application fee of EUR 200 (net of bank commissions)

Please mention the candidate’s name and the following:
“application fee for the CLUJ INTERNATIONAL MUSIC COMPETITION 2019 ”.
There will be no refunds due to candidates’ cancellations.

Art.4 Deadlines
The deadline for the applications is the 25th of March  2019
All documents mentioned at Art. 2 will be scanned and sent by e-mail to: cluj.imc@gmail.com.

The names of the selected candidates will be published on our website by April 8th, 2019. They will receive the official invitation to participate by e-mail.

Art.5 Official Registration of the selected candidates
Candidates accepted into the second round will register the competition on July 7th, between 8 a.m. – 7 p.m. at the Competition Office (Info Point) in Cluj-Napoca (25 I.C. Bratianu Street).
Upon registration, candidates will personally confirm their identity using their ID or passport.

Art.6 Drawing of lots
The order of performance will be determined by drawing of lots which will take place at the opening ceremony – The Auditorium Maximum (Babes-Bolyai University), on July 7th 2019, at 8 PM.

Art.7 Jury
The jury will consist of prominent musicians from around the world.
The jury’s decision is final and cannot be appealed.
The jury reserves the right to listen to the entire piece or just parts or fragments.
Starting with the second round, the members of the jury will be available for feedback on candidate’s performance.

Art.8 Public performances
All rounds of the competition are open to the public. Competitors may perform the works in any order they choose. Performing from memory is NOT compulsory.

Art.9 Diplomas
All candidates may receive participation diplomas. The prizes will be presented to the laureates by members of the jury at a formal ceremony.

Art.10 Prize awarding ceremony
The winners are expected to take part in the prize awarding ceremony and the Gala Concert on July 14th, 2019 at the Auditorium Maximum concert hall at the Babes-Bolyai University, 8 PM for receiving their prizes and for playing the piece selected by the jury. Winning competitors refusing to take part in the gala will not receive their prize.

Art.11 Accompanists
The candidates will have their own accompanists for the competition. If the candidates do not have their own accompanist, the organizers of the competition will provide accompanists free of charge for one rehearsal before the semifinal and for the competition round.

Art.12 Travel and Accommodation
Travel, accommodation and all other expenses will be supported by the candidates.
The ”Gheorghe Dima” Music Academy offers 50 double rooms in the student campus for the price of 120 EUR/person/the entire competition (July 5/6th – July 14/15th).

Art. 13 Visas
Contestants requiring a visa to take part in the Competition are requested to organise this themselves. If a letter of invitation is required for visa purposes, candidates may request this from the Competition Office.

Art. 14 Insurance
The Cluj International Music Competition is not responsible for the costs of candidates` illness and/or accidents during their stay in Cluj-Napoca.
The Cluj International Music Competition is not responsible for the loss/theft of personal possessions/musical intruments from the area of the competition.

Art. 15 Broadcast
By entering the competition the candidates agree the following: The organizers reserve the right to make audio and video recordings, photos and to broadcast on radio, TV or on the internet, all rehearsals, competition rounds and concerts. The candidates and their accompanists are not entitled to claim any remuneration for these recordings. Also, the winners will perform in the Gala Concert without a fee.
