Terms and Conditions


Art. 1 The Competition
The Notes&Ties Cultural Association (Asociația Culturală ”Notes&Ties”) and The Gheorghe Dima National Music Academy (Academia Națională de Muzică ”Gheorghe Dima”) are holding a competition for Flute and Clarinet entitled Cluj International Music Competition 2025 in Cluj-Napoca, Romania.

Art. 2 Registration
The competition is open to flute and clarinet players worldwide, with the only stipulation being that they are born no earlier than July 11th, 1990.

Submitted applications must include the following documents:

  • application form – download
  • a recent photo (portrait, min. 300 dpi)
  • a short biography (max. one page, in English)
  • a copy of the candidate’s ID or passport
  • a copy of the confirmation of payment (preliminary round registration fee) according to Art.3
  • a recent, un-edited (one take) video recording* of the preliminary audition repertoire

All documents mentioned at Art. 2 should be scanned and sent by e-mail to: cluj.imc@gmail.com by December 9th 2024

VIDEO REQUIREMENTS PRELIMINARY ROUND

*Technical requirements:

  • good quality* video file (.avi, .mov, .mp4, .mkv) containing the required repertoire for the preliminary round
  • the selected repertoire will be filmed continuously, in one take, without interruptions, cuts, sound or image editing (like a recital)
  • a single video will be sent by each candidate
  • you can choose to play the selected repertoire in any order
  • performing from memory is not mandatory
  • recordings made with phones are accepted, provided they are of sufficient quality
  • the candidate must be filmed from the front and will remain entirely visible all throughout the recording. Please make sure the hands and the instrument are clearly visible.
  • the video file name will contain the following information: last name, first name, competition initials
    • example: Smith John – CIMC 2023.mp4
  • the video will not exceed 2GB
  • public recordings are not accepted
  • the video file must be sent electronically at cluj.imc@gmail.com via a transfer service (e.g. WeTransfer) or uploaded in cloud storage platforms (e.g. Google Drive or DropBox). Please do not send links to files uploaded on YouTube or similar video sharing platforms.

*VIDEO RECOMMENDATIONS FOR AN OPTIMAL RECORDING:

  • Landscape format
  • Make sure the frame rate is not too low: if it is, the image will look like it skips and the movements look unnatural
  • Good light
  • Focused image (not blurry)
  • Check if the music stand doesn’t cover your hands and/or instrument
  • Record from a reasonable distance so that your whole body is visible or at least from your head to your knees, but also make sure that the recording is not made from too far away
  • Before sending the video, please check if the recording was not done in mirror mode

Art. 3 Fees

Preliminary round registration fee – candidates who register for the competition need to pay a registration fee of EUR 70 (net, after bank fees).

Preliminary round deadline: December 9th 2024

Participation fee – participants selected after the preliminary round will have to pay a participation fee of EUR 130 EUR* (net, after bank fees) in order to be accepted into the following rounds of the competition.

Deadline: February 15th 2025

* The participation fee includes free masterclasses with jury members.

Please include the candidate’s name and the following phrase:
“application fee for the CLUJ INTERNATIONAL MUSIC COMPETITION 2025” in the transfer.

There will be no refunds due to candidates’ cancellations.

Art. 4 Deadlines

  • The deadline for applications is December 9th 2024
  • The names of the candidates selected after the preliminary round will be published on our website by January 15th 2025. They will receive the official invitation to participate by e-mail. A number of around 100 candidates are expected to be selected for the second round in each section (flute and clarinet)
  • Candidates accepted after the preliminary round will pay the participation fee by February 15th 2025

Art. 5 Official Registration of the selected candidates

Candidates accepted into the second round will register the competition on July 5th 2025, between 8 a.m. – 6 p.m. at the Competition Office (Info Point) in Cluj-Napoca (Bucium Street, Cluj-Napoca).

Upon registration, candidates will personally confirm their identity using their ID or passport.

Art. 6 Drawing of lots

The order of performance will be determined by drawing of lots which will take place at the „Gheorghe Dima” National Music Academy on July 5th 2025, at 7 PM.

Art. 7 Jury

  • The jury will consist of prominent musicians from around the world.
  • The jury’s decision is final and cannot be appealed.
  • The jury reserves the right to listen to the entire piece or just parts.
  • Starting with the second round, the members of the jury will be available for individual feedback on candidates’ performance.

Art. 8 Public performances and streaming
The final round will be live streamed online and open to the public.

Competitors may perform the works in any order they choose. Performing from memory is not compulsory.

Art. 9 Diplomas
All candidates may receive participation diplomas via e-mail. The prizes will be presented to the laureates by members of the jury during a formal ceremony.

Art. 10 Prize awarding ceremony
The winners are expected to take part in the prize-giving ceremony and the Gala Concert at 7 p.m. on July 11th 2025 at the New Campus of “Gh. Dima” National Music Academy. At this event they will play the piece selected by the jury – winning competitors refusing to take part in the gala will not receive their prize.

Art. 11 Accompanists

The candidates will have their own accompanists for the competition. If the candidates do not have their own accompanist, the organizers of the competition will provide accompanists free of charge for one rehearsal before the semifinal and for the competition round. 

Art. 12 Travel and Accommodation

Travel, accommodation and all other expenses will be supported by the candidates.  

The ”Gheorghe Dima” National Music Academy offers 50 double rooms in the NEW student campus for the price of –  150 EUR/person/the entire competition (July 4/5th – July 12th).

Art. 13 Visas
Contestants requiring a visa to take part in the final round of the Competition are requested to organise this themselves. If a letter of invitation is required for visa purposes, candidates may request this from the Competition Office.

Art. 14 Insurance
Cluj International Music Competition is not responsible for the costs of candidates’ illness and/or accidents during their stay in Cluj-Napoca.
The Cluj International Music Competition is not responsible for the loss/theft of personal possessions/musical instruments from the area of the competition.

Art. 15 Broadcast
By entering the competition the candidates agree that the organisers reserve the right to photograph and record (audio & video) all rehearsals, the final round and concerts. These may be broadcast on radio, TV, or online without further permission given by the candidates or their accompanists, who are not entitled to claim any remuneration for these recordings and broadcasts. The winners will perform in the Gala Concert without a fee.

Art. 16 Personal data

By registering for the competition, participants agree to the storage and use of their personal data by the Notes&Ties Cultural Association (Asociația Culturală ”Notes&Ties”) for the purpose of organising the competition.

Art. 17 Final provisions

In well justified situations, the organizer reserves the right to make changes to any aspect of the competition.

Any integral or partial change to the place or time of the competition will be announced in due time. This includes the possibility of moving the competition online in case of force majeure, the enforcement of public events restrictions, restrictions on the movement of persons, or any other such measures enforced by government authorities for reasons of public health and safety.
